Writing Tips For HR Officers
- Choose a standard font and font size: ‘Calibri’, ‘Arial’ or ‘Times New Roman’, with a 10 to 12pt. font size is most suitable. In addition, keep your cover letter short, concise and to the point. Don’t exceed the one page document and keep a word count of around 300 to 400 words and divide your cover letter into four paragraphs.
- Make sure to include the appropriate greeting and name at the beginning of your cover letter. You can write for example: ‘Dear Mr. Hill,’ or ‘Dear Ms. Hill,’. For American usage, we include a dot after the abbreviation ‘Mr.’ or ‘Ms.’. For British English, you can leave it out. Try to avoid generic openings such as: ‘Dear Hiring Manager,’, ‘Dear Sir or Madam,’ or ‘To whom it may concern,’.
- A strong cover letter provides context to the HR skills and experience listed in your resume. For example, try to make it quantifiable with numerical and statistical information or tell a story about what experience contributed to your development.
- Avoid clichés, don’t babble and focus on what you’ll deliver. When you write a cover letter you should avoid meaningless words like: “team-player”, “problem solver” or go off on irrelevant tangents in an effort to sound witty or interesting. Key here is to show the reader what you can do for them and the organization.
- Don’t use a boilerplate cover letter. That means, write a unique letter for every job application. Hiring Managers notice when an email is written for the masses. Personalize your letter in every way you can. Although it’s time consuming, it definitely increases your chances of getting hired.
