Dear Ms. Larsson,

I am writing to express my interest in the administrative assistant position on [] under section [‘Careers at’]. I heard about [Office X] via my former colleague [Name Surname]. As a dynamic office assistant with years of professional experience with organization and communication, I am confident about my potential contribution to your department. Therefore, I want you to consider this application for the administrative assistant position.

To shortly introduce myself, my name is [Sara Maddison] and I have 5+ years of experience organizing and effectively managing the workplace at [Company Y]. The practice I currently work for may reduce its hours, which has forced me to search for a new opportunity. I noticed that [Office X] operates in the same industry and the job opening closely aligns with my experience. In addition, this position opens up a path to becoming an executive assistant which matches my desired career goals. As a motivated office assistant, I am thrilled to deliver excellent client interaction and maintain [Office X’s] core values on time management, verbal and written client communication.

Throughout the years I have been promoted increasingly responsible positions as an office clerk, office receptionist and administrative assistant. During my last role at [Company Y], I maintained and nurtured long-term relationships with more than a dozen clients in the [Industry]. The day-to-day responsibilities involve maintaining contact lists, scheduling meetings and communicating on behalf of the executives. Back in 2020, I rolled out a new CRM system to allow for more personalized and customized service, of which I received recognition and was granted as employee of the year.

In the attachment, you can find my resume and references for more information about my educational background and technical skills. I would welcome the opportunity to discuss my potential contribution to [Office X’s] efficiency and client relationship goals. For any questions, you can contact me via [Phone number] or [Email address]. Thank you for your time and consideration.

Best regards,

[Sara Maddison]

How To Write a Cover Letter For an Administrative Assistant Job?

Writing Tips For Administrative Assistants

  • Use the appropriate font: Calibri, Arial or Times New Roman, and a 10 to 12-point font size. Keep a word count of around 300 to 400 words and divide the cover letter into 4 paragraphs. Keep your cover letter short, concise and to the point. Don’t exceed the one page document.
  • Thoroughly read the job description and pay attention to keywords that are used more than once. These usually have a higher priority to the reader.
  • Emphasize your experience with Microsoft Office software such as: excel, word, powerpoint, outlook and more. If you lack technical skills, try to focus on personal traits like being punctual, detail-oriented or your verbal and written communication skills.
  • Don’t restate your resume but provide context in numbers, percentages, years of experience or refer to the attached references where your former employers confirm your qualifications.
  • Don’t use long complicated sentences but write in simple English. Maintain an overall tone of voice that is: confident, courteous and sincere. Also, proofread your cover letter and use Word’s spelling check.
